What is EFS?
An electronic filing system, or EFS, replaces manual processes with a web-based, digital solution that streamlines the paperwork process to get your customers on the road.
Getting Set Up
Small, mid-sized, and franchise dealers can become authorized agents of tax collectors. When approved to use EFS, dealers can scan title and registration documents and electronically submit them to OATA for grading and finalization. OATA provides real-time access to vehicle, registration and title information and grants access to real-time processing of title and registration applications. We scan documents and upload them within 30 days. It works the same way as submitting a paper form.
Keeping You Compliant
After submission of the scanned documents and approval by OATA, EFS agents retain the paper documents for 5 years. The agents stamp the face of the document to render the document VOID within five (5) business days transaction approval. Compliance with this procedure is verified during dealer visits. OATA processes title and registration documents for the following through EFS: motorcycles, vessels and boats, automobiles, trailers, motor homes, low-speed vehicles and off-highway vehicles.

With EFS, dealers do title work right from the office. Dealers and agents can house and issue permanent metal plates and print permanent registration decals 24/7. They can also transfer current plates by printing out a permanent registration and updated decal. Replacement plates can be issued to customers who have active plate numbers.
With our process, you’ll no longer need to go to the tax collector or transfer paper documents. We assign plate inventory and decals, and the dealership doesn’t get charged until they finalize a deal for a customer.
